Who we are

The Skills Fest is event-management software for youth organizations. Questions about this policy or your data: admin@theskillsfest.com.

The short version

• Your organization's data belongs to your organization. We store it to run the product and never sell it.
• We ask before setting our one optional analytics cookie, and only on this public site. Nothing inside the signed-in app is tracked.
• Member accounts — including children's — are created and managed by the organization, never collected by us directly from children.

What we store

When an organization uses The Skills Fest, it enters the information it needs to run its events: member names and roles, club/unit assignments, event registrations and attendance, and — where the organization chooses to record them — dates of birth, dietary needs, gender (used for lodging assignments), and contact details for staff and leaders. The organization decides what to enter and who on its team can see it; participants never see other members' personal details.

Signing in stores a session token in your browser's local storage. It is strictly necessary for the product to work, contains no tracking, and is cleared when you sign out.

Cookies

This site sets exactly one kind of optional cookie:

• Google Analytics (public marketing pages only) — helps us understand how people find the site. It is off until you choose “Allow” in the cookie notice, never loads if you choose “No thanks,” and never runs inside the signed-in app. Your choice itself is remembered in local storage.

Services we rely on

A small set of processors run the product on our behalf: Stytch (email sign-in links), Stripe (billing — card details go to Stripe, never to us), Brevo (transactional email such as invites, sign-in links, and approval notices), and our hosting infrastructure. Each receives only what it needs for its job.

Children

The Skills Fest is used by organizations that serve young people. Children's accounts are created and managed by the organization (or by a family using a code the organization issued) — we never collect information directly from children, market to them, or show them other members' details. The organization is responsible for having the permissions it needs to enter its members' information; we act as the software provider processing it on the organization's instructions. To have a child's record corrected or removed, contact your organization — or us, and we'll help.

Retention and deletion

Data lives as long as the organization's workspace does. An owner can delete their organization from Settings: the workspace is archived immediately, locked to everyone, and permanently purged after a 30-day grace period. Individual member records can be deactivated or removed by the organization at any time.

Your choices

• Decline the analytics cookie — everything works identically.
• Ask your organization (the controller of its roster) to correct or remove your record, or email us and we'll route the request.
• Sign out to clear your session from the browser.
