What’s on the sheet

Five columns, chosen because they’re what a check-in volunteer actually needs and nothing more:

  • Name — the participant
  • Group / Unit — their club, troop, den, team, cabin, or crew, so visiting groups stay sorted
  • Class / Session — where they’re supposed to be
  • Here — checked in, marked on arrival
  • Notes — the catch-all for the things that always come up: picked up early, allergy flagged, parent still in the parking lot

How to use it

Print one roster per room or station rather than one master list for the whole event. A volunteer running the archery range shouldn’t have to scan four pages to find one kid, and a single shared master sheet becomes a bottleneck the moment two people need it at once.

Fill in names ahead of time if you have them — a pre-filled roster turns check-in into a lookup instead of a transcription, which is roughly the difference between a thirty-second line and a five-minute one per family.

Keep a blank copy or two on the clipboard as well. Walk-ins, last-minute swaps, and the family who swears they registered are all easier to handle on a spare sheet than in the margins of a full one.

Who it’s for

Any group running an event with multiple activities and multiple groups attending: scouting troops and camporees, church youth clubs, 4-H events, sports clinics, day camps, arts workshops, and homeschool co-ops. The column headers are generic on purpose — rename them to your own terms and the sheet still works.

When a paper roster stops keeping up

Paper rosters are fine for a single-room event and start to strain the moment you have several rooms, waitlists, or visiting groups who each need their own list. The usual tell is someone re-typing names from a registration form into a roster by hand — that’s the step worth eliminating first.
