VBS runs the same rotation pattern as any other club event — kids moving through a set of rooms across a set of blocks — but compressed into a full week, every day, with the same kids returning each morning. That repetition is exactly where paper falls apart: a fresh sign-in sheet every day means the same data entry error five times instead of once, and a kid who missed Tuesday needs Wednesday’s roster to already know it.
How your event maps to the app
Your classrooms or activity rooms — worship hall, craft room, game field, snack area — become rooms, each with a capacity that reflects how many kids one set of volunteers can actually manage. The daily rotation blocks (opening, small groups, crafts, games, snack) become timeslots, repeated across the week rather than rebuilt from scratch each morning. Kids register once, for the whole week, grouped by age level automatically, and the same roster carries forward every day — so Wednesday’s check-in already reflects who attended Monday and Tuesday, without anyone re-entering a single name. Volunteers get an assigned room and group for the week, not a new clipboard each morning, and attendance marked each day builds toward a complete weekly record you can hand back to families at the end.
