What’s on the sheet
- Name — one row per participant
- Sessions 1–4 — a column per time block, matching the way most single-day events are structured
- Completed — the final column, for whether they finished the requirement, badge, honor, or skill the activity was meant to award
Four sessions covers the standard shape of a single-day event: a morning block, a late-morning block, and one or two afternoon blocks. If your day runs longer, print a second sheet rather than cramming — a crowded sheet is how marks end up in the wrong column.
How to use it
Mark attendance at the start of each session, not at the end of the day from memory. This is the single biggest difference between an attendance record you can trust and one you’re reconstructing on Monday. It takes about ninety seconds per session and eliminates almost all of the “was Jordan actually there?” conversations later.
Keep attendance and completion as separate marks. A kid can attend a class without finishing the requirement, and conflating the two is how someone gets credit they didn’t earn — or, worse, doesn’t get credit they did.
Who it’s for
Any group tracking participation across multiple sessions: scouting troops running merit or honor classes, church youth clubs, 4-H project days, sports skills clinics, day camps, arts workshops, and homeschool co-ops tracking a weekly class term.
When a paper sheet stops keeping up
Paper attendance works well for one room. It gets painful when you need the total across a whole event — who completed what, across a dozen classes and several groups — because that means transcribing every sheet into a spreadsheet afterward, which is both the most tedious and the most error-prone part of running the event.
